Why we process your personal data

Castel Marketing & Communication processes your personal data

  • on behalf of our clients, to carry out and manage their marketing activities
    • because we have received your personal data from our clients
    • and/or because we manage or collect such data for our clients
    • and/or we have purchased or rented a database from third parties
  • for our own use
    • in connection with the roll out of our own marketing activities, to communicate on our offer of products and services and/or to provide relevant information
      • because you provided us with those data yourself

Personal data that we process

We process the personal data below for the above mentioned activities, only with your prior consent to the responsible party in question (cf. ‘Responsibility for personal data”):

  • forename and surname
  • sex
  • language
  • address details of the company where you work
  • telephone number (direct business line and mobile number)
  • your e-mail address at the company where you work
  • other personal data you have actively provided (e.g. home phone number, home address, private e-mail address and birthday)
  • IP address, Internet browser and type of device, only for Google Analytics

Responsibility for personal data

  • When carrying out marketing activities on behalf of our clients
    • For personal data received from our clients, the client has the ultimate responsibility for the quality and consent to use them for the defined marketing activities.
    • For personal data that we manage and/or collect on behalf of our clients, the client has the ultimate responsibility for the quality and consent to use them for the defined marketing activities.
    • For personal data purchased or rented from a third party in connection with a marketing activity of a client, the third party is responsible for the quality and consent to use them for the defined marketing activities.
  • For our own use
    • For personal data that Castel Marketing & Communication manages for its own purposes, the ultimate responsibility for those data lies with us.
    • For personal data purchased or rented from a third party in connection with a marketing activity of a client, the third party is responsible for the quality and consent to use them for the defined marketing activities.

Particular and/or sensitive personal data that we process

Our services and/or website have no intention of collecting data on persons younger than 18, unless they have the consent of their parents or guardian. We cannot, however, check whether a visitor or registrant is older than 18. We therefore advise parents to be involved in the online activities of their children to avoid collecting data on children without parental consent. If you are convinced that we have collected personal data about a minor without such consent, please contact us via privacy@castel.be, and we will remove and/or have that information removed by the party concerned (cf. ‘View, adapt or remove data’).

In exceptional cases, we request your identification data and provide them to third parties (e.g. to visit secure websites or to book flights), but only with your prior, explicit consent.

How long we keep data

Castel Marketing & Communication will keep your personal data no longer than strictly necessary to achieve the aims for which the data are collected. In the case of marketing campaigns that we roll out for our clients, the personal data used are archived when the campaign in question is brought to a close. The data are used further for the client’s campaigns only with express consent and under the responsibility of the client.

Sharing with others or shared with us

Castel Marketing & Communication does not sell your data to third parties and will provide them only where necessary for the execution of our and our clients’ marketing projects or in order to comply with a legal obligation.

  • We conclude a once-off processing agreement with companies that process your data to ensure the same level of security and confidentiality for your data.
  • We conclude a once-off overall confidentiality agreement with our clients about personal data that we manage or that they provide to us for their campaigns.

Mapping website visits

Castel Marketing & Communication uses functional, statistical and tracking cookies for its own website and for websites created for clients. A cookie is a small text file that is stored in the browser of your computer, tablet or smartphone the first time you visit this website.

Functional cookies are always loaded. They are purely technical cookies and are required as a minimum for the website to work properly and to be as user-friendly as possible. Functional cookies are used in particular in order to

  • make sure you don’t have to enter your username, password and other preferences such as subscription, language, location, etc. over and over again;
  • detect misuse of our products and services, for example, by recording the number of consecutive failed login attempts;
  • detect overloads, bugs or other problems with the website.

Statistical cookies are always loaded. They are used to gain completely anonymous insight into how the website is used, which pages are visited and how frequently. This information is used for traffic and profile analysis with a view to optimizing the content of the website.

Tracking cookies are loaded only with your prior consent. They are used to

  • establish links with social media;
  • enable third parties to post tailored ads based on your surfing behaviour;
  • get recommendations while using the website based on your surfing behaviour.

The first time you visit the website, we will inform you about the use of cookies in accordance with the guidelines of the Data Protection Authority. Functional and statistical cookies are always loaded. Your prior consent will be requested for the use of other cookies. Please note that certain functions of the website may not work if the cookies are not set.

You can opt out of cookies by setting your browser not to store cookies anymore.  In addition, you can also remove all information that was stored earlier through your browser’s settings.

View, adapt or remove data

You are entitled to view, correct or remove your personal data. You can send a request to peruse, correct or remove data to privacy@castel.be.

  • For data that we process on behalf of our clients to carry out their marketing activities
    • For personal data received from our clients, we will forward your request within four weeks to the party in question for further action.
    • For personal data that we manage and/or collect on behalf of our clients, we will process your request within four weeks and inform the client in question.
    • For personal data purchased or rented from a third party for a marketing activity of a client, we will forward your request within four weeks to the third party in question for further action and will also inform the client in question.
  • For data that we process for our own use
    • For personal data purchased or rented from a third party for our own marketing activity, we will take care of your request within four weeks and forward it to the third party as well.
    • For personal data that Castel Marketing & Communication manages for its own purposes, we will follow up your request within four weeks.

Prevention

Castel Marketing & Communication takes the protection of your data serious and adopts appropriate measures to counter misuse, loss, unauthorised access, undesired disclosure and unauthorised changes. If you think that your data are not properly secured or that there are indications of misuse, please contact us at 014/500 205 or privacy@castel.be.

Castel Marketing & Communication has taken the following measures to secure your personal data:

  • Security software, such as a virus scanner and firewall
  • Your data are stored on a secure section of our storage
  • For certain marketing activities, personal data are kept on external servers of third parties. Access thereto is SSL encrypted and password protected. We conclude a once-off confidentiality agreement with these parties.

Incidents

If something goes wrong with the data protection and a misuse, loss, unauthorized access or undesired publication should ensue, Castel Marketing & Communication will take action within 72 hours after the incident is detected and will inform the competent authority and the owner of the data about the incident.
